1. It is a requirement that booking and consent forms are fully completed and signed, otherwise we will be unable to accept them.

2. Service fees are chargeable upon booking and are non-refundable except in exceptional circumstances. We will endeavour to reschedule appointments - but this may not always be possible, especially at short notice.

3. To protect the privacy of all clients, we ask you to refrain from taking photographs or videos within our clinic, unless given permission to do so by the Clinic Director.

4. We are not liable for any loss or damage to your personal property while you are on our premises. 

5. We are only able to offer our services to adults at this stage - so you must be at least 18 years old.

6. We will aim to complete our scans abdominally, however in some circumstances - particularly during very early pregnancy, we may need to complete a transvaginal (internal) scan in order to provide you with conclusive information. We will not carry out this type of scan without discussing it with you first and receiving your full consent. The scan will be carried out with dignity and respect, and a trained chaperone will be on hand to offer additional support if needed. 

7. It is vital that you attend all antenatal services provided by the NHS. The detection rate of abnormalities can vary depending on gestation (number of weeks pregnant) at the time of the scan, so we strongly recommend that any services accessed here at Cocoon should be complementary to your NHS provision.

8. We are a busy clinic and it is important that we run on time for the benefit of all clients. If you are running late or feel you need more time with your sonographer, midwife or counsellor, please speak to the Clinic Director - it may not be possible to accommodate your request but we’ll always do our best to help.

9. If you cancel your booking or do not attend your appointment, you will be liable for the full service fee. We will endeavour to reschedule appointments, but please understand that as a busy clinic this may not always be possible.

10. Our services are non-refundable and valid for only the date booked.

11. It is not possible to transfer booked services from one patient to another potential patient.

12. You will receive an automatic email after booking which also serves as your payment receipt.

13. The price list for our services is subject to change and Cocoon reserves the right to amend at any time.

14. In exceptional circumstances, it may be necessary to cancel or reschedule your appointment  date. Our liability in such cases is limited to refunding any fees paid and not any other losses occurred to you. We will always try our best to find a new time and date that works for you.

15. We reserve the right to change the details of our services without notice - however any changes will be discussed with you before you attend your appointment.

16. We are committed to ensuring you feel safe, comfortable and supported during your appointment. If you have indicated on your booking form that you have any additional needs, one of our team will contact you directly to make sure we have everything in place for you.

Privacy and Data Protection

17. We will not sell, trade, or rent your personal information to anyone.

18. We will only pass on your details to third parties if required to do so by law.

19. In order to process your booking, we’ll need to add your information to our database. Occasionally, we might use this to keep you updated with our services. If you do not want to hear from us at any point, please let us know - you can do so by emailing hello@cocoon-hgt.com.

Disclaimer

  1. It is vital that you attend all your routine NHS appointments. Our scans and midwifery services are offered in addition to these appointments and should not be considered as alternatives.

  2. Ultrasound is a screening tool - it cannot detect all abnormalities. However, if an abnormality is detected, your sonographer will discuss their findings with you as fully as possible and write a report that you will be able to give to your healthcare provider - this could be your GP, Early Pregnancy Assessment Unit or Maternity Assessment Centre, depending upon the findings and gestation.

  3. Cocoon cannot guarantee the quality of your images. Ultrasound is baby-led, and it is not possible to predict their position or how visible baby will be on the day of your ultrasound. There are a number of factors that can affect the quality of images, including fullness of bladder, BMI and general position of baby. If we are struggling to achieve a good standard, we will invite you back for a complimentary re-scan, at the discretion of the Clinic Director and Lead Sonographer.

  4. In early pregnancy, it can be very difficult to see your baby. This could be because it’s just a little too early, or it could be a sign that your baby has not continued to grow in lone with expectations. It could also be an indication of an ectopic pregnancy. In these cases we will offer a complementary rescan. It is important that you seek medical advice if you are experiencing any discomfort or bleeding in early pregnancy.

  5. Occasionally, it might be necessary for an internal (transvaginal/TV) scan in order for us to understand the full picture. In these cases, we will discuss this with you in advance and take every step to ensure you feel as comfortable and informed as possible. You can withdraw consent to this at any time, and we have trained chaperones on site who will be available to support you, if needed.

  6. We cannot 100% guarantee the sex of your baby. Our sonography team has many years of experience in this area, however the result should be understood to be the opinion of your sonographer based on the information available to them on the day.

  7. I understand that I am attending the clinic at my own risk and that I must adhere to the most recent COVID-19 guidance.
